Who we are

CliniRelay LLC is a US-based, HIPAA-compliant AI phone answering service for medical practices and healthcare businesses. This policy explains how we handle information collected through this website. It does not describe patient information we process on behalf of a practice that has become a customer, that information is governed by our agreement with that practice, including a Business Associate Agreement where applicable.

What our website forms collect

Our inquiry forms are the onboarding form at Get Started and the contact form at Contact. Both collect the information you type into them:

• Your name
• Your practice name
• Your specialty
• Your phone number
• Your email address
• Any message you choose to write
• The plan you were looking at

Please do not include patient information or protected health information (PHI) in these forms. They are for business inquiries only.

Setup form

After you subscribe, you complete a setup form describing your practice: hours, providers, services and prices, call handling rules, transfer contacts, scheduling preferences, and your receptionist's name and greeting. We use this only to configure your receptionist. It is stored in our database with access limited to CliniRelay staff and is not sold or shared with third parties beyond the vendors that power the service.

Payments

Subscriptions are billed by Stripe. Your card number is entered on Stripe's secure checkout and is never stored on our servers. We receive your name, email, plan, and the last four digits of your card from Stripe for billing support. Stripe's privacy policy applies to the payment itself.

Call recordings and transcripts

Calls answered by your CliniRelay receptionist are recorded and transcribed so your practice can review them and so we can deliver your monthly report. Recordings and transcripts may contain patient information and are handled under our Business Associate Agreement with you. Patients are informed that the call is answered by an AI receptionist. We keep call recordings and transcripts for six months. After six months, they may be deleted. If your practice needs to keep a recording longer, ask us before the six months are up.

• To scope, quote, configure, and deliver the CliniRelay service for your practice
• To send you information related to a request you made
• To keep our forms working and protect them from spam and abuse
• To meet our legal, accounting, and security obligations

Text messaging

If you opt in on our demo request form, we send transactional SMS messages about your demo appointment and call follow-ups. If you opt in to SMS, we use your mobile number only to send appointment scheduling, confirmation, and call follow-up messages. We do not send marketing texts. Message and data rates may apply. Message frequency varies. Reply STOP to opt out at any time and HELP for help. Opt-in records are retained as required by law.

How we share information

We do not sell, rent, or trade personal information, and we do not share it for cross-context behavioral advertising. We share information only with service providers who help us operate this website and our business, for example hosting, database, and email providers, and only to the extent they need it to perform that work. We may also disclose information when required by law.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

Cookies and analytics

We use a small amount of browser storage to remember choices you make on the site, such as the specialty you selected, so pages stay consistent as you move around. We may use privacy-respecting analytics to understand aggregate traffic, which pages are visited and how people navigate, so we can improve the site. We do not use advertising trackers, and we do not build advertising profiles about you. You can block or clear cookies and site storage in your browser at any time; the site will still work.

Security and retention

Form submissions are stored in access-controlled systems and encrypted in transit and at rest. Access is limited to the people who need it to respond to you. We keep inquiry records for as long as needed to respond, to maintain business records, and to meet legal obligations, and then delete or anonymize them.

Your choices

You can ask us to access, correct, or delete the information you submitted through this website, or ask us to stop contacting you. Email us and we will respond within a reasonable time. Depending on where you live, you may have additional rights under state privacy laws; we honor those requests regardless of where you are.

Children

This website is intended for healthcare businesses and is not directed to children. We do not knowingly collect information from children through this site.

Changes to this policy

If we update this policy, we will change the "Last updated" date above. Material changes will be described on this page.
